Data and privacy — how Leadber handles your conversations

1

Photos and files are streamed, not stored

When a customer sends a photo, voice note, video or document to a WhatsApp number connected to Leadber, the file itself is not stored on Leadber's servers. We keep the text record of the message plus a reference id, and when you open the conversation we stream the file from WhatsApp on demand.

2

Older files may expire

WhatsApp removes stored media after a limited period. When that happens the file is no longer viewable in Leadber, but the text record of the message remains in the conversation.

3

You can turn media display off

Settings → Messaging has a 'Show media in chat' switch. When it is off, Leadber does not fetch any photo, voice note, video or document for your workspace — the chat shows a placeholder saying 'open WhatsApp to view' instead. The switch is enforced on the server, not just hidden in the UI.

4

The AI reads text, never media

The automatic reply AI is given the text of the inbound message, your My Brain content and the recent conversation. It never sees photos, audio or video. When a message contains media, the auto-reply is paused for that conversation and a human is asked to respond.

5

Who processes your data

AI replies and lead analysis are produced by OpenAI (GPT-4o-mini) and Groq. WhatsApp delivery goes through Meta or Twilio depending on how you connected. Email goes through Resend. Real-time chat updates go through Pusher. The full list, and what each provider receives, is in the Privacy Policy section 3b.

Note

Your messages and your customers' messages belong to your business. Leadber processes them on your instruction so you can read and reply to them.
